Hi gabby! Query lang. We are using eNGAS here sa office because the management believed mas mabilis magproduce ng reports and mas convenient. However, we received an AOM citing na we are not maintaining Supplies Ledger Cards which in fact nasa eNGAS na. With just one click makikita na dun lahat. Do we still have to maintain physical ledger cards mismo? Kasi if so, na dedefeat din ang purpose ng pag eNGAS namin.

May 10 Internal Control na iminumungkahi ang COA. Ilan sa mga ito ay ang sumusunod:
Dapat magkahiwalay ang accounting at kustodiya sa mga assets ng ahensya.
Sabi ng COA: “Key duties and functions such as authorization, custody and accounting shall be assigned to separate offices and individuals to eliminate opportunities to conceal errors and irregularities.”
Kaya naman, bagamat totoo na meron ng supplies ledger card sa ENGAS, ito ay para lamang sa accounting office. Ang supply unit/office, bilang may kustodiya ng mga supplies, ay dapat magkaroon din ng hiwalay na records sa mga supplies.
Ang supply ledger cards ng accounting office at supply unit/office ay dapat laging magkatugma. Kung hindi ay dapat itong i-reconcile agad.
